The Technology
How Charlotte works, what she knows, and what she never touches.
Charlotte is not a generic AI. She is a specialist knowledge system built entirely around UK employment screening and vetting, embedded directly into the platforms and systems your teams already use. There is no complexity in getting her there, and no compromise in what she delivers.
Built on three principles
Everything about how Charlotte works comes back to these three things.
Charlotte's answers come entirely from a knowledge base built from 18 years of real operational expertise. She covers 65 specialist topics and 2,900 sub-topics in UK employment screening, vetting compliance and risk. She never guesses. She never uses general AI training knowledge. If it is not in her knowledge base, she says so.
Charlotte is added to any software platform or internal system with a single embed code — two lines of HTML. There is no API to build, no integration project and no ongoing technical maintenance. She sits inside your existing environment and is available the moment the code is placed. Your team adds it once and Charlotte is live.
Charlotte handles no personal data at any point. She does not ask for names or candidate details. She does not connect to your systems or databases. Conversations are not stored, not monitored and not passed back to Vetting Hub or any third party. When a session ends, nothing is retained. There are no exceptions to this.
Deployment
No technical complexity. No lengthy implementation. No disruption.
Subscribe and confirm your deployment
Once you subscribe, Vetting Hub configures your Charlotte embed specifically for your organisation or platform. The configuration controls who can access Charlotte and ensures she is never publicly visible.
Receive your unique embed code
You receive two lines of HTML. A container div and a script tag. That is the entire technical requirement. The embed is unique to your deployment and does not expose your internal systems or data to Vetting Hub.
Place the code in your platform or system
Your development team or platform administrator places the code wherever Charlotte should appear — inside your platform, your internal portal, your intranet, or your bespoke system. No rebuild required. No API work needed.
Charlotte is live
From that point, Charlotte is available to your users or teams within the environment they already work in. No separate login. No external platform to manage. No disruption to existing processes.
Data and privacy
This is not a policy position. It is how Charlotte is built.
Charlotte does not need personal data to do her job. She answers questions about UK employment screening compliance, vetting standards and risk. None of that requires names, candidate details, employee records or any identifying information.
She does not connect to your databases or internal files. She does not see anything held within your platform or organisation. She has no access to your systems beyond the page she is embedded on.
When a session ends, nothing is retained. Conversations are not stored, not monitored and not passed to Vetting Hub or any third party. For software platforms this removes a procurement concern that often delays or blocks the addition of a new tool entirely.
Charlotte creates no data processing obligations within your product and places no additional compliance burden on your platform simply by being there.
No names or details
Charlotte never asks for any identifying information. None is required to answer a compliance question.
No system access
Charlotte does not connect to your databases, internal files or any data held within your platform.
No stored conversations
When a session ends, nothing is retained. Conversations are not logged, monitored or reviewed.
No third party sharing
Nothing passes back to Vetting Hub or any third party at any point. Your data stays entirely your own.
The knowledge base
Built from real expertise. Maintained to stay accurate.
Charlotte's knowledge base was built by Graham Johnson over 18 years of hands-on operational work in UK employment screening and vetting. It is not sourced from the internet, scraped from public websites or drawn from general AI training data. Every answer comes from documented, verified specialist knowledge.
The knowledge base covers 65 specialist topics and 2,900 sub-topics. It spans the full range of UK pre-employment screening — from Right to Work checks and DBS requirements through to industry-specific standards, data protection obligations, fraud risk and screening governance.
Charlotte answers only from what is in her knowledge base. She does not supplement her answers with general knowledge, does not estimate and does not fill gaps. If she does not have the answer, she says so.
How the knowledge base stays current
UK employment screening legislation and guidance changes regularly. The knowledge base is monitored monthly against primary legislative sources, Home Office guidance, ICO updates, DBS rule changes and relevant regulatory publications. When changes occur, affected documents are updated and Charlotte's knowledge base is refreshed. Your Charlotte deployment always reflects current requirements.
Clarity on capability
Being clear about this matters. Honest capability builds trust.
